This privacy policy sets out how we use and protect any information that you give us.

HOW IMFORMATION IS COLLECTED

• Printed Season Ticket/ Aigas Golf Club membership forms
• personal information via the contact forms on our website
• by sending or responding to emails
• If you voluntarily provide contact details at Aigas Golf Course to receive further information of our products and services
• Website browsing, information provided by cookies and google analytics
• When booking a holiday cottage you will share your contact details via our 3^rd party booking site ‘Freetobook’

WHAT INFORMATION IS COLLECTED

If you are a Season Ticket Holder and/or Aigas Golf Club member we will collect:

• Your first name and surname
• Home address
• Email address
• Telephone number
• Date of Birth
• Passport sized Photograph

If you are a holiday cottage guest we will usually collect:

• Your first name and surname
• Home address
• Email address
• Telephone number
• Bank details for taking payment

Employees and Volunteers of Aigas Golf Course and Holiday Cottages:

• Your first name and surname
• Home address
• telephone number
• e-mail address
• date of birth
• national Insurance number
• any other information as may be required by insurers, tax, regulatory or other authorities.
• Bank details
• PVG check

WHAT WE DO WITH THE INFORMATION WE COLLECT

• Internal record keeping
• Provide you with information and communications in relation to our activities
• Provide you with members services (ie updating your details on Scottish Golf master scoreboard)
• Ensure we know how you prefer to be contacted
• Periodically send you emails about special offers, competitions, results or other information which we think you may find interesting using the email address you have provided
• Supply information when required and appropriate to insurers, tax, regulatory or other authorities.

As a season ticket holder or holiday cottage guest you agree to the use of the data that we collect in accordance with this Policy.

INFORMATION SHARING

All reasonable precautions are taken to prevent unauthorised access to this information. Your information, will not be exchanged, transferred, or given to any other company outside Aigas Golf Course or Aigas Golf Club without your consent except where we are required to do so by law.

We ensure that only those with a specific requirement to access your personal information will be able to access it. 

Data Controllers – are the people who, or organisations which, decide the purposes and the means for which, any personal data is processed. The Data Controller for Aigas Golf Course is Philip Masheter.

Data Processors – include any person who processes personal data on behalf of a data controller including Aigas Golf Course staff and Aigas Golf Club treasurer.

We undertake annual reviews of our data protection procedures, including who has access to information that we hold. This allows us to ensure that your information is only accessible by appropriate members of our team and used for the purpose for which it is intended.

INFORMATION RETENTION AND STORAGE

Season Ticket and Aigas Golf Club Membership Forms – Paper copies will be processed and stored at the Golf Course Office. Copies are retained for up to two years and are shredded thereafter. Electronic copies are password protected. Members and Season ticket holders will be invited to re-join at the end start of the new season.

Holiday cottage guests – password encrypted records are maintained for up to 12 months after your visit/stay. No records of your bank details are retained after payment has been taken.
